To apply for a food trader pitch at Hay Festival 2025 please complete this form. We will then undergo a shortlist process, where selections will be made and successful applicants will be notified by 23 January 2025.

If you wish to be added to a reserve list, please read and check the requirements below before emailing hannah@hayfestival.org with a brief description of your offering.
Selection process: 13 - 22 January 2025
Successful applicants will then receive a booking form, contract and invoice for a non-refundable 50% deposit. To confirm and secure your pitch, the deposit is payable by 3 February 2025.
The full balance (to include all power / WiFi requirements) will be due by 16 April 2025.
Food Trader requirements:
Traders are required to operate for the entire duration of the festival. We regret that we cannot offer short stay options.
- Hay Festival 2025 runs from Thursday 22 May to Sunday 1 June and trading hours are between 09:30 - 18:30 daily as a minimum, although you can stay open later if you wish.
- Exhibitors must be open for all trading hours on all days.
- Each caterer must be able to provide vegan, vegetarian and gluten-free options
- Each caterer must provide a child-friendly, lower-priced option
- Main course dishes to be priced at circa £10 - £15 each
- The Festival’s Menu Policy and Sustainability Policy will be shared with you if your application is successful
Please consider this commitment carefully before applying.
Please note: although you must be open and ready, the first two days of the Festival have a slightly different footfall due to being schools days. This will give you a chance to prepare yourselves for the first bank holiday weekend which is traditionally the busiest.

Payment schedule and cancellation policy
Hay Festival requires all traders to adhere to the following payment schedule:
- By 3 February 2025 - non-refundable 50% deposit of the total pitch fee will be payable to confirm and secure the pitch
- 16 April 2025 - balance is due (to include all power / Wi-Fi requirements)
- Late booking for services (power & Wi-Fi) will incur extra costs
- Additional Commission to be paid within 28 days of invoice after the festival.
If payment in full is not received as per the above dates, then we reserve the right to cancel the booking and retain the deposit as a cancellation fee. In the event of an exhibitor cancelling, all monies paid thus far are non-refundable. All prices are subject to VAT at 20%.
