Before your visit
- You will receive a receipt of your booking. Please check numbers and that you have booked for the correct day
- A confirmation email will then be sent requesting:

Travel arrangements
If booking any transport please do check if your travel company needs to depart the Festival at a particular time and inform us of this by the Easter holidays.

Accessibility requirements
In order to ensure the best experience for your pupils, please share any Accessibility Requirements and requests.

On the day
- As you can imagine, it’s a busy day so please allow extra journey time
- As this is a schools event that welcomes over 7,000 young people, we ask that all pupils wear their school uniform
- Please register at the Information Desk on arrival
- Please share the events that you have booked with staff and pupils and remind everyone to be at the correct venue at least 5 minutes before the event is due to start
- Things to bring:
- A notebook and pen to join in with the interactive activities
- A packed lunch and drinks bottle that can be refilled onsite
- Spending money - the Festival Bookshop will be selling books for the authors to sign after their events and there will also be ice cream vans onsite and vendors selling refreshments and food
- Pupils may bring their own books to be signed by the authors
What can we do to plan and prepare for our visit?
- All our venues and events are carefully risk assessed and our Risk Assessment can be found here.
- Share your allotted departure time from the Festival with your travel company before the day. These departure times cannot be changed on the day
- Allow extra journey time to arrive a minimum of 30 minutes before the scheduled start of your first event
- Teachers/adults accompanying pupils should run through expectations regarding appropriate behaviour and consideration for other audience members and other Festival-goers
- Please share with pupils maps and event timings of the events they will be attending and remind them to arrive before the event starts
- Staff must accompany pupils to all events and ensure all pupils are present

- All venues are signposted and a map will be available here in due course
Where do we eat our packed lunch?
- There are covered areas on-site
How do we get to the Festival?
- The Festival site postcode is HR3 5PJ
- If you are parking in Oxford Road please drive to HR3 5AJ and walk pupils to the site this walk will take approximately 15 mins
Where do we get off the coach?
- if you are parking at Clyro Court, please drop off at the layby next to the site
- if you are parking at Oxford Road, please disembark at this car park and walk to the site (stewards will show you the route)
- if you are arriving by minibus or car, please park in your allotted parking and walk to the site
What facilities are available at the Festival?
- Qualified first aiders will be on duty
- Accessible Toilets
- Quiet Space
- Festival staff and volunteers will be on hand to deal with queries and provide assistance throughout your visit. If you require specific assistance, please inform us
Can we alter our booking?
- If you need to amend your booking please contact us as soon as you can so we can offer your spaces to other schools who are on our waiting list
Can we alter our departure time?
- We can amend your departure time up to 2 weeks before the event. Please liaise with your travel provider before the day to ensure that you are able to leave at your given time slot.
Are we able to apply for travel subsistence for this trip?
- Schools in Wales can apply to the Arts Council Wales Go and See Fund
- Herefordshire Education Fund has a limited number of bursaries available to support local schools in Herefordshire
We can’t make it to the Festival, can we access the events online?
- Yes, you can register (after Tuesday 4 March) to watch our live online events
- Check your connection in advance of the live events
- You can also watch past authors’ events
Will there be materials to support learning?
- Yes, we have teaching resources for this year’s events with past event materials too
